School Policies & Guidelines

The following policies are designed to ensure clarity, consistency, and a positive learning environment for all students and families at Blue Heron Music School.

Attendance & make-up lessons

• Lessons follow a reserved weekly schedule

• If a lesson must be missed, at least 24 hours’ notice is required

• Lessons missed without proper notice cannot be made up

• Lessons missed due to illness, travel, or other reasons may be made up within one month, subject to availability

 

Billing & membership terms

• Tuition is billed as a fixed monthly membership

• After recurring payment authorization is completed, tuition is charged automatically each month according to the established billing cycle

• Membership reserves a dedicated weekly lesson time

• A 30-day written notice is required to pause or cancel a membership

• Billing continues throughout the 30-day notice period, whether or not the student attends lessons during that period.

 

School calendar & scheduled breaks

The annual teaching calendar is structured to provide 45 scheduled lessons per weekly time slot over a full 12-month enrollment period.

Student absences remain subject to the attendance and make-up policy above.

Students enrolled for less than 12 months receive the scheduled lessons that fall within their active membership period.

Annual tuition is divided into 12 equal monthly payments, so the monthly rate remains the same regardless of how many lesson dates fall within a particular month.

The annual calendar includes 7 scheduled non-teaching weeks:

• 2 weeks for Christmas & New Year’s Break

• 1 week for Spring Break

• 4 additional school closure weeks scheduled throughout the year based on the school calendar. Families will be notified in advance.

Major holidays such as Memorial Day, Independence Day, Labor Day, and Thanksgiving may also result in school closures.

If a holiday closure falls outside the seven scheduled non-teaching weeks and would reduce a student’s annual scheduled lesson total below 45, that lesson will be rescheduled or made up.

This ensures that each weekly lesson time slot is scheduled for 45 lessons over a full 12-month enrollment period.

Membership benefits & school resources

Membership provides access to the broader educational environment of the school, which may include:

• Workshops and group activities

• Instrument support such as string changes and basic setups
  (strings and materials not included)

• Guidance with instrument and accessory selection

• Priority scheduling within the school

• Occasional discounts on additional services, when applicable

Availability and format may vary based on scheduling and school activities.

Enrollment at Blue Heron Music School reflects a commitment to consistent learning, preparation, and respectful participation in the school environment.

These guidelines exist to support students’ musical growth and ensure a positive experience for the entire school community.

Photo & Video Consent

During registration, adult students or parents/guardians of minors may choose whether to grant Blue Heron Music School permission to use photos or videos taken during lessons, workshops, rehearsals, or performances for promotional or educational purposes.

Choosing not to grant permission does not affect enrollment or participation in lessons.

Privacy Policy​

Blue Heron Music School collects information necessary to provide and administer music lessons, including student and parent/guardian contact information, home address, student date of birth, emergency contact information, enrollment details, and billing contact information.

This information is used for lesson administration, communication, scheduling, safety and emergency purposes, and billing. Payment details are processed securely by third-party payment providers and are not collected through the student registration form.
